Setting up an Owner Portal

The Owner Portal is a feature for property managers which allows customers (the property owners) to log in and view important information like announcements, property availability and uploaded owner statements.  Owners can also submit requests for date blocks on their own properties. The Owner Portal is only available under the Professional Plan subscription.  

Creating an Owner Portal

An Owner Portal is a type of stand-alone MyVR website and can be created and published within the application under Operations > Owner Management > Web Portal.

While an Owner Portal may be linked on your main website, it is set up and managed as a separate website, as it has many unique attributes and requirements.

To create a new Owner Portal, click New Owner Portal. Select a customized subdomain for the owner portal, but for security reasons, the owner portal cannot currently be at your own custom root domain at this time.  (e.g. "YourCompany.MyVR.com" may be used, but not "YourCompany.com").

 

Editing an Owner Portal

Once created, modify the Owner Portal design elements within the website designer, like any other website. Customize colors (currently accent color only), fonts, background image (displayed only on the login page), company logo, social media icons and contact info.

Within the website editor, modify the content of the various pages that will be shown to your owners. A few pages are only partially editable since the functionality on those pages is locked down (e.g. login page, property calendars, etc). Drag and drop various widgets from the website editor to add additional content to site pages (such as images, text blocks, videos, and more). Additionally, manage which pages to show or hide, and those to include in the navigation bar of the website.  

Notes on editing the owner portal:

  • The home page and announcements page both have a sample copy that MyVR has populated.  Modify those sections before publishing your website.
  • Ensure the company information is completed from your MyVR account profile, as this will be automatically populated within the Owner Portal.  Find the company information under Setup > My Account > Company

 

Publishing an Owner Portal

Once the new Owner Portal website has been set up, click the "Publish" button in the Overview tab of the website to make it live and accessible to others.  Don't worry, no one will find it until they're invited. A link to the portal may also be included on your website. 

 

Inviting owners to the Owner Portal

Once the owner portal has been established, set up owners under Operations > Owner Management > Owners. 

  • Contact Details: Provide all contact details for the owner, including address, phone number and email address.
  • Associated Properties: From the drop-down, select all properties associated with that owner
  • Owner Portal: Invite owners to log into the portal and manage access

Click on the toggle to turn on each owner's ability to log in, and then click on the button to invite them.  Owners can set up their own password and reset their password in the future.  If they struggle, there is also the option for you to send them the password reset link.

 

Enabling "Owner Block" capabilities

The Owner Portal allows your owners to log in and view the availability calendars for each of their properties (unless this section is deactivated on your website). Allow owners, on a property-by-property basis, to request dates on their own property right from the Owner Portal account. This is often used to allow them to request use of their own property.

Requests that owners submit can either be automatically approved or can be sent to the inbox for manual review/approval. Email notifications are sent just like booking requests.

To turn on "owner block" capabilities and configure whether or not such requests need your approval, manage this under Operations > Owner Management > Owners > Owner Portal tab. 

 

Publishing owner statements 

The Owner Portal allows your owners to log in and view owner statements that have been uploaded to MyVR. MyVR does yet generate owner statements for you, but we hope to soon!

Owner statement PDF files can be uploaded under Operations > Owner Management > Statements.  Name the document after uploading, and assign the statement to the property owner so that it shows up in the Owner Portal when they log in.  Publish or unpublish each statement, and schedule an owner statement to publish at a future date.  

 

"Owner Login" link to a MyVR multi-property website

The Owner Portal is a standalone website for the sole purpose of providing property managers a place for owners to log in and view important information. Optionally, an "Owner Login" link may be added to your multi-property website to allow owners to find it more easily. While this can be done manually anywhere on the website, it may also be included on the footer navigation settings of your website.
