Manually create a reservation
MyVR has different methods to quickly create a reservation that contains basic information about the stay — dates, property, guest details. This is particularly useful when on the phone with a guest that wants to book immediately.
Step 1: There are several ways to create a reservation.
A. From the Reservations page
Navigate to Reservations > Reservations
In the left-hand corner, click the + New button
B. From the Single Property calendar view
Navigate to Availability > Single Property
Click Actions and from the drop-down select New Reservation.
Or on the calendar, navigate to the month of the booking then click on the date of arrival. Choose to create a New Reservation
C. From the All Properties calendar view
Navigate to Availability > All Properties
Navigate to the dates for which the guest is interested. Choose a property row, and click on the start date, then choose Create Reservation.
Step 2: After Create Reservation (or New Reservation) has been selected with any of the above methods, fill out the new reservation form.
Note: The reservation status can be set to Reserved or Tentative
Step 3: Finish the reservation by building a quote (completing the Rental Terms, Payment Schedule, and Booking Settings). After completing, users will be directed back to the reservation details page.
Step 4: Set the reservation terms
Set the reservation terms
If quotes are present, users are presented with the option to cancel all outstanding quotes in order to ensure the valid quote is being selected or created.
The reservation's terms - payment schedule, rental contracts, accepted payment method, etc - will be set by building a quote or assigning an existing quote to be the terms.
Step 1: Go to the Quotes tab of the reservations detail view
Step 2: From the Action drop-down, select Set As Reservation Terms
Step 3: Click Set Terms
Step 4: Choose the most appropriate record agreement option
Set-up reservation terms if a quote has not been created
Step 1: Go to the Reservation tab of the reservations detail view
Step 2: Click on Setup Reservation Terms
If quotes are present, users are presented with the option to cancel all outstanding quotes in order to ensure the valid quote is being selected or created.
Step 3: Click on the Build New Terms button
Step 4: Users will be presented with up to three options for setting a new quote as the terms:
- Build New Terms: start a quote from scratch
- Build New Terms by Copying an Existing Quote: choose a quote to modify
- Set Terms From an Existing Quote: choose an active quote
Options 1 and 2 will bring open the build a new quote modal. Once a quote has been created/selected, it will be set as the current terms for the reservation. View the quote in the Quotes tab and it will be highlighted as the current terms for the reservation.
Convert an inquiry to a reservation
When having a conversation with a guest, if there is no associated reservation, a reservation can be created from an inquiry.
Step 1: From within the inquiry conversation view, from the actions drop-down click Create Reservation
Step 2: The information already included in the inquiry - guest details, dates, property, etc. - will all be assigned to the new reservation. Choose the status of the new reservation and a new reservation will be generated
Copy a reservation from an existing reservation
If a guest has stayed before, a copy of the reservation can quickly be copied to set up a new reservation for a future stay.
Step 1: Navigate to the reservation. Click on the Actions drop-down and select Copy Reservation
Note: If a reservation has been canceled or declined, it is not possible to revive the reservation. However, a new reservation can be created using the same information.
In both cases, the payment details (credit cards) that the guest had previously entered can be copied over.
Step 2: When filling out the new reservation form, credit cards details can be copied over
