Warning: iCal has a delay of 1 hour. This poses a potential risk for double bookings.
Owners who rent a house along with individual rooms/properties in the home may need the option to stop the rooms from being rented if the whole house has been booked. While also allowing the reverse, if a room is rented, booking the whole house should be blocked but other rooms can still be rented.
For example, if room #1 is booked, the entire home should be marked as unavailable while room #2 is still bookable. If the entire home is booked, both room #1 and room #2 should be marked as unavailable.
In this article, we will show how to have a shared property calendar block off two single property calendars. Along with the single properties blocking off the shared property calendar.
Step 1: Users will need to create two calendar connections representing each room/property tied to the shared property.
To create these calendar connections:
1. Go to Channels > Calendar only > click "New Connection"
2. On the connection, screen choose iCal > Setup
3. Name connection, "Single Property #1 to Shared Property" > click "Add Connection"
4. Repeat steps 1-3 and add another iCal connection called, "Single Property #2 to Shared Property"
Note: Once you are comfortable understanding the connection, you can update the name of each calendar connection to show your property names.
Step 2: In the calendar screen, click "View by Property," then choose the shared property from drop-down selection.
Connect shared calendar to each single property calendar:
Step 3: On the shared property > Go to calendar "Single Property #1 to shared property" > Setup Export > Go to Advanced Settings > Make sure events are marked as "Reserved" > "Save Settings" > From actions dropbox click "Edit Export" > Copy export full link.
Step 4: From drop-down, choose your first single property > Go to calendar "Single Property #1 to shared property" > Setup import > Mark as only "Unavailable" > Paste full export link > click Add Calendar > Save Settings.
Step 5: From drop-down, go back to the shared property > Go to calendar "Single Property #2 to shared property" > Setup Export > Go to Advanced Settings > Make sure events are marked as "Reserved" > "Save Settings" > From actions dropbox click "Edit Export" > Copy export full link.
Step 6: From drop-down, go to the second property > Go to calendar "Single Property #2 to shared property" > Setup Import > Mark as "Unavailable" > Paste full export link > Click Add Calendar > Save Settings.
Connect single property calendar to shared calendar:
Step 7: From drop-down, choose first single property #1 > Go to calendar "Single Property #1 to shared property" > Setup Export > Go to Advanced Settings > Make sure events are marked as "Reserved" > "Save Settings" > From actions dropbox click "Edit Export" > Copy export full link
Step 8: From drop-down, choose shared property > Go to calendar "Single Property #1 to shared property" > Setup import > Mark as "Unavailable" > Paste full export link > Click Add Calendar > Save Settings.
Step 9: From drop-down, choose first single property #2 > Go to calendar "Single Property #2 to shared property" > Setup Export > Go to Advanced Settings > Make sure events are marked as "Reserved" > "Save Settings" > From actions dropbox click "Edit Export" > Copy export full link
Step 10: From drop-down, choose shared property > Go to calendar "Single Property #2 to shared property" > Setup import > Mark as "Unavailable" > Paste full export link > Click Add Calendar > Save Settings.
Your shared and single property calendars should now be connected. Note: An iCal calendar connection is synced hourly. After setup, wait one hour to see events blocked on every single calendar.
Through this setup, additional properties can be added to connect to your shared calendar.
